The Essential Stages of a CDL Driver Hiring Pipeline
A simple way to structure driver applicant stages so recruiters can see what is active, what needs follow-up and what is ready for handoff.
A hiring pipeline is useful when each stage tells the recruiting team something operational. If stages are vague or overlap, the system becomes another place to update rather than a tool that helps recruiters decide what to do next.
The first stage is New. This should contain applicants that have entered the recruiting process but have not yet received a meaningful review or contact attempt. A growing New stage is an immediate signal that recruiting capacity or response ownership needs attention.
The next stage can be Contact Attempted. This separates applicants who are waiting for the team from applicants the team has already tried to reach. A next-action date or reminder is useful here so the candidate does not remain in the stage indefinitely.
Reviewing is for candidates where the recruiter is actively checking fit, qualifications or required information. The company should define what must be known before a driver can move out of this stage. Without that definition, Reviewing can become a holding area.
Qualified identifies candidates who meet the fleet's recruiting criteria and are ready for the next internal step. Depending on the company, that may mean an interview, safety review, document collection or onboarding handoff. The recruiting system should make the handoff responsibility clear.
Onboarding can be used when the driver has moved beyond recruiting but the company still wants pipeline visibility until the internal process is complete. The recruiting team does not necessarily need to manage every onboarding task, but it should be able to see whether the driver moved forward.
Closed should include candidates who were hired, not selected, withdrew or became inactive. It is helpful to keep a simple closing reason because it can reveal recurring recruiting issues over time.
A fleet can add more stages when there is a real operational need, but simplicity has value. The purpose of the pipeline is to make candidate movement visible and help the team act, not to document every minor interaction as a separate stage.
